Ulysses Work Alert for Data Integration |
As a “Business Activity Monitoring” technology, Ulysses Work Alert’s purpose is to automatically monitor business information for critical, time-sensitive conditions of data across an organization and to respond to those conditions in a timely and intelligent manner.
Among the “business information” that Ulysses Work Alert can monitor is:
| 1. |
Application Data (e.g., information in sales, service, finance, and manufacturing applications) |
| 2. |
Incoming E-Mail Messages |
| 3. |
Information Entered in a Web Form |
| 4. |
Operating System Data |
| 5. |
Reports Scheduled for Distribution |
| |
| When Ulysses Work Alert detects the presence of business information that needs to be acted upon, Ulysses Work Alert can respond by: |
| 1. |
Sending Alert Messages (via e-mail, fax, pager, PDA, cellular phone, and web browser) |
| 2. |
Moving Data from one Application to another |
| 3. |
Creating Actionable Records in an Application Database |
| 4. |
Generating and Delivering Relevant Reports |
| 5. |
Executing Organization-Specific Response Actions |
| |
| Ulysses Work Alert’s approach to data integration is to provide a “behind-the-scenes” solution that enables an organization to add or update data in one or more business applications as a result of specific conditions being met within that organization’s business data.
This integration centers around Ulysses Work Alert’s “pre-integration analysis” function. This is the ability for Ulysses Work Alert to perform sophisticated analysis on the business data within, between, or related to one or more applications and thus make a determination whether the corresponding conditions exist to warrant an integration activity, such as the creation or updating of database records.
Ulysses Work Alert’s pre-integration analysis uses sophisticated data mining functions to analyze precise conditions of business data. These analytical functions includes the ability to:
| 1. |
Detect newly-created records (e.g., when a new contact is created in a CRM application, add the same contact to a financial application) |
| 2. |
Detect “changed” records (e.g., when a client’s address or credit status changes in a financial application, update the corresponding fields in a sales application) |
| 3. |
Detect records that meet specific criteria (e.g., when a client’s past due balance exceeds $50,000 in a financial application, schedule a follow-up phone call in a sales application) |
| 4. |
Detect aggregate thresholds (e.g., if a client has more than 3 overdue invoices in a financial application, create a dunning notice record (in the financial application) and schedule a follow-up phone call in a sales application) |
| 5. |
Detect related conditions across multiple applications (e.g., if a client has an overdue payment in a financial application and has a pending sale in a CRM application, update the pending sale to place it “on hold”. |
| |
| It is important to note that Ulysses Work Alert’s integration functions are completely behind-the-scenes. Unlike other integration tools that include a visual, on-line interface that allows (for example) a user in a CRM application to view data from a financial application, Ulysses Work Alert’s integration functions consist of collections of pre-defined (and customizable) rules that are executed at pre-defined schedules. When a rule’s conditions are met, the integration action(s) are performed; if the conditions are not met, the integration does not occur. |

Pre-Integration Analysis &“Intelligent” Record Creation |
| One of the most important benefits of Ulysses Work Alert’s pre-integration analysis in integration initiatives is that it gives organizations the ability to configure Ulysses Work Alert to evaluate a condition and then to decide whether or not to create related follow-up activities (records) within one or more databases. Unlike integration tasks that ensure that the same information resides in multiple databases, Ulysses Work Alert has the additional ability to assess business conditions within one database and then to create (or update) related records in another database.
(E.g., in addition to copying a client’s “Past Due Balance” from a financial application to a sales application, Ulysses Work Alert can determine that the balance due is greater than ‘x’ and therefore should trigger the creation of a dunning notice record.)
It is just this ability to monitor an organization’s business activities and to analyze and respond to those activities in a number of different ways (including the initiation of integration processes) that distinguishes Ulysses Work Alert from other more traditional integration solutions. By combining sophisticated Data Mining capabilities with a suite of automated response actions (including Application Integration), Ulysses Work Alert provides organizations with the means to create a system of intelligent, flexible, and dynamic data integration processes.

| |
| As a Business Activity Monitoring technology, Ulysses Work Alert provides many unique integration capabilities that are not present in “synchronization” type integration solutions. These capabilities include: |
| 1. |
Pre-Integration Record Analysis. This refers to Ulysses Work Alert’s ability to evaluate the condition of one or more database records and to initiate integration only if certain conditions are met. Unlike synchronization technologies that move data from one application to another, this function allows for the creation of an entirely new record in one application if certain conditions are present in another application. An example of this might be the creation of a customer follow-up activity in a sales application if the client is placed on credit hold in a financial application. |
| 2. |
Pre-Integration Cross-Application Interrogation. One of the unique capabilities of Ulysses Work Alert’s pre-integration analysis is that Ulysses Work Alert can interrogate multiple applications simultaneously. For example, Ulysses Work Alert could correlate whether any clients with pending sales opportunities (in a CRM application) are also on credit hold (in a financial application). If both conditions prove true, Ulysses Work Alert could then update the corresponding applications as necessary. |
| 3. |
Pre-Integration Aggregate Threshold Analysis. In addition to analyzing the condition of individual database records as well as conditions across multiple applications, Ulysses Work Alert can perform sophisticated aggregate-based analysis and trigger corresponding updates based upon an aggregate threshold being surpassed. An example of this might be to trigger an application update if a client has more than 3 overdue payments of at least $10,000 apiece. |
| 4. |
Pre-Integration E-Mail Analysis. Although many integration initiatives are focused on moving data from one application to another, it is often the case that an organization will also have to consider how to handle incoming e-mail messages that also need to be “fed” into one or more application databases. Ulysses Work Alert has the ability to monitor the content of incoming e-mail, and – based upon the content of those messages – to determine whether or not applications need to be updated with mail message details. |
| 5. |
Pre-Integration E-Mail-to-Application Linking. This builds on the previous item but takes a more sophisticated approach. For some organizations, the receipt of an e-mail message needs to trigger an intermediate evaluation of that message relative to the contents in a database (such as checking to see if an incoming e-mail is from a contact who already exists in an SFA database), and then, based on the results of that evaluation, one of many different integration actions might need to be executed. Ulysses Work Alert is designed to handle such multi-tiered evaluation scenarios. |
| 6. |
Integration Confirmation Alerts. Letting people know that an integration has been successfully completed is a core component of the Ulysses Work Alert solution. Alert messages (via e-mail, fax, pager, cellular phone, or PDA) can be delivered to the specific people (such as account managers) needing to know when certain records are added or updated. Confirmation messages can include all details about the integration action, including details about the condition that triggered the update. |
| 7. |
Integration Failure Notification, Auditing, & Retries. In addition to sending alerts about successfully-completed integrations, Ulysses Work Alert also provides comprehensive integration auditing, including integration failure alerts. These alerts can be customized to send alerts to any individuals via any means (including e-mail, pager, and cellular phone), and Ulysses Work Alert can be configured to automatically “re-try” the integration action for a specified amount of time. |
| 8. |
Pre and Post Integration System Evaluation. To help avoid situations where an integration action fails because of a system problem such as too little disk space on a database server, or a network connection that happens to be down, Ulysses Work Alert allows organizations to run system monitoring events that evaluate the readiness of an organization’s hardware and software environment for an integration action. |
| 9. |
Pre and Post Integration Report Generation & Distribution. Since a single integration process can have a significant affect on a database’s records, Ulysses Work Alert provides the ability to automatically generate and distribute Crystal Reports both prior to and following the integration action. These reports can be linked directly to the records being modified or created, the reports can be output in any Crystal-supported format, and they can be delivered via e-mail, fax, web browser, and FTP. |
| 10. |
Integration Dependency Support. As integration is often part of a larger “workflow process”, Ulysses Work Alert is designed to support a flow of business activities that need to be followed when an integration occurs. For example, Ulysses Work Alert can check for condition ‘a’ in a sales application, update information in a financial application, check for condition ‘b’ in the financial application, update additional information (if required), and so on. |
| 11. |
“Old” & “New” Value Retention. For those organizations that require an audit trail of changes made to their applications through integration processes (or through manual entry), Ulysses Work Alert provides the ability to monitor when field values have changed, and the ability to record both the “old” and “new” values for individual database records. |
| 12. |
Ability to FTP files as part of integration. In many integration initiatives, organizations have a requirement to transfer entire files (as opposed to individual records) to be later imported into one or more application databases. Ulysses Work Alert supports both the “population” of these files with the appropriate records along with the delivery of these files to their ultimate destination via FTP. |
